Accounts Payable Specialist
Contract to hire
Weatherford, Texas

IMMEDIATE OPENING FOR an Accounts Payable Specialist to join our team and work on-site at our client’s headquarters in Weatherford, Texas.  This is a 6 month contract to hire with a great company in the commercial construction space.  Seeking someone with strong computer literacy, excellent communication skills, and tenacity when interacting with vendors and suppliers.

 Responsibilities
  • Process high-volume vendor and subcontractor invoices accurately and in a timely manner
  • Prepare and process weekly check runs by the required deadline through AvidPay and manual methods
  • Record electronic payments within 24 hours of receiving email notification
  • Maintain up to date vendor profiles, handle invoice inquiries/discrepancies and resolve payment-related disputes efficiently and professionally
  • Responsible for image and record retention procedures for all accounts payable documents
  • Solicit and maintain accurate vendor W-9 records for 1099 reporting
  • Process 1099 forms annually
  • Reconcile credit card receipts (Home Depot and Capital One) within 2 weeks from the statement date to ensure a timely monthly closure
  • Acknowledge and abide by sales tax rules for tax determination
  • Immediate phone and reception area backup to the Office Administrator
  • Assist with month-end and year-end close activities
  • Support audits by providing requested documentation and explanations
  • Ensure compliance with internal controls, company policies and audit requirements
  • Analyzing and improving processes as needed or directed
  • Executes other administrative tasks as needed or assigned

Skills and Qualifications
  • Associate or bachelor’s degree in accounting, finance or related field (or equivalent experience)
  • 2+ years of accounts payable or general accounting experience
  • Strong knowledge of basic accounting principles
  • Experience working in the construction industry is desired
  • Experience with accounting software and systems (i.e. Sage Timberline, Timberscan and AvidPay)
  • Proficiency in Microsoft Excel and Word
  • Excellent attention to detail and accuracy resulting in minimal errors
  • Strong organizational and critical thinking skills
  • Strong verbal and written communication skills
  • General math and research skills
  • Ability to maintain confidentiality and a positive, helpful attitude
  • Able to multi-task and stay focused in a faced paced environment
  • Proficient in 10-key and data entry
  • Sensitive to deadlines with the ability to manage time and resources with a sense of urgency
  • Able to work in a full-time 40-hour week position and overtime as needed and pre-approved
